Volunteers Coordinator
Duties
- Establish the number of volunteers required for the show, using input from committee chairpersons, show co-chairs and previous show history
- Create/Update a Volunteer Sign-up Form, or similar mechanism, for recruiting volunteers by times and positions
- Provide Volunteer sign-up form and positions available to Show Webmanager
- Recruit Volunteers
- Keep track of Volunteer status, such as positions filled and open. Maintain a current list of Volunteers and contact information
- Prepare information for publication in the Quips, on the web and/or special publications
- Ensure volunteer assignments are confirmed with the Volunteers prior to the show or pre-show events, such as judging, Quilt Hanging, etc.
- Provide lists of Volunteers as needed to Committee Chairpersons utilizing Volunteers, as needed. Coordinate Volunteer Check-in / Check-out at the quilt show and ensure this is handled at pre-show events
- Determine the number of Docents (white gloves) needed for the show and their locations.
- Write thank-you notes as appropriate.
- Maintain records of expenses and receipts, working closely with the Treasurer and Show Co-Chairs to stay within budget.
- Maintain records of actual volunteers who helped with the show. Provide this information to the Gift of Quilting Coordinator following the show.
- Prepare information for publication in Quips and/or special publications.
- Prepare final report and update committee notebook.
