• Coordinate checkin and checkout of quilts at show.
• Prepare information for publication in Quips and/or special publications.
• Purchase plastic bags for storing quilts during checkin and checkout, and other supplies as needed.
• Design system and procedures for tracking items as they are checked in and out.
• Submit to Floor Plan Coordinator the number of tables and chairs needed.
• Recruit assistants and committee members through Volunteer Coordinator.
• Receive list of quilts and wearable arts items from Entry Forms Coordinator.
• Design and produce claim forms, labels, and other tools needed to track quilts.
• Provide for the temporary holding of quilts and wearables prior to hanging.
• Train volunteers on checkin and checkout procedures.
• As quilts arrive, check for required items, such as sleeve, label covers, cleanliness. Verify entry data such as maker, quilt name, whether it is judged or for display.
• Coordinate temporary holding and take down of quilts to facilitate an organized check out.
• Arrange for distribution of judging critiques, signage (if appropriate), and other materials to quilt exhibitors at checkout.
• Write thank-you notes as appropriate.
• Maintain records of expenses and receipts, working closely with the Treasurer and Show Co-Chairs to stay within budget.
• Maintain list of helpers who assisted you (besides show volunteers), and give to the Volunteer Coordinator.
• Prepare information for publication in Quips and/or special publications.
• Prepare final report and update committee notebook.
