Silent Auction Coordinator

Duties
  • Solicit auction items from the bees and Guild members.
  • Write articles for the Quips and Show Guide promoting the Silent Auction.
  • Keep track of promised auction items and check on status from time-to-time.
  • Attend Guild meetings months in advance to receive items for the auction.
  • Speak at Guild meetings to encourage contributions and status from contributors.
  • Store the items until the show in a smoke-free, animal-free area.
  • Inventory the items.
  • Evaluate all suggested minimum bids, and adjust as deemed necessary.
  • Prepare show paperwork for each item - form attached to the item and a bid sheet.
  • Schedule which items close on which days.
  • Prepare and setup the booth.
  • Deliver items to the show.
  • Recruit volunteers to help.
  • Write instructions to train volunteers at the show.
  • Contact the high bidders after the show closes down each evening.
  • Collect funds from high bidders.
  • If the high bidders do not come to the show to collect their items, take items home and contact the bidder to arrange mail or delivery.
  • Get funds to the Show Treasurer.
  • Maintain records of expenses and receipts, working closely with the Treasurer and Co-Chairs to stay within budget.
  • Arrange for the return and/or disposal of unsold items after the show.
  • Recruit assistants and committeee members through Volunteer Coordinator.
  • Write thank-you notes as appropriate.
  • Maintain records of expenses and receipts, working closely with the Treasurer and Show Co-Chairs to stay within budget.
  • Maintain list of helpers who assisted you (besides show volunteers), and give to the Volunteer Coordinator.
  • Prepare information for publication in Quips and/or special publications.
  • Prepare final report and update committee notebook.
