Photography Coordinator

Duties
  • Prior to show, prepare information for publication in Quips and/or Show Guide.
  • Prior to show, gather price information on slide film, processing costs, and storage box cost.
  • Confirm budget is adequate.
  • Purchase slide film and storage box.
  • Prior to show, schedule time at a Guild meeting to take courtesy photos of quilt entries for Guild members who need help.
  • Photograph the show using slide/transparency film.
  • Photographs should include all quilt and wearable arts entries (without signage), all Guild booths and/or special displays, a few vendor booths if ok with vendors, show set up, samples of signage and awards, quilt show judges, opening night overview, judges choice awards and quilts, viewers choice award with quilter, raffle quilt drawing and winner if possible, and general quilt show views.
  • Label slides and store in slide box.
  • Cross-reference slides to Show Program.
  • After all slides have been labeled, return Hanging Book to Show Co-Chairs.
  • Update the Hanging Book by cross-referencing entry forms to slides.
  • Make slides available to Guild Web Manager as requested for scanning into digital images.
  • Deliver slides to Show Co-Chairs or Historian for permanent archives.
  • Recruit assistants and committee members through Volunteer Coordinator.
  • Write thank-you notes as appropriate.
  • Maintain records of expenses and receipts, working closely with the Treasurer and Show Co-Chairs to stay within budget.
  • Maintain list of helpers who assisted you (besides show volunteers), and give to the Volunteer Coordinator.
  • Prepare information for publication in Quips and/or special publications.
  • Prepare final report and update committee notebook.
