Hanging / Takedown Coordinator

Duties
  • Determine the hanging plan for the quilts.
  • Determine the number of volunteers needed to complete the quilt hanging and takedown and provide this information to the Volunteer Coordinator for inclusion in the Volunteer sign-up form.
  • Solicit bids from decorating services.
  • Select and contract with a decorating service, within budgetary constraints.
  • Provide information to the Decorating Service so they may accurately set up the quilt and vendor areas.
  • Gather adequate supplies for hanging the quilts, such as dowels, paint, crimping tools, crimps, etc.
  • Provide an orientation to volunteers prior to the actual Quilt Hanging and Take-Down to give directions and answer questions, and provide guidance to volunteers during these actual events.
  • Write thank-you notes as appropriate.
  • Maintain records of expenses and receipts, working closely with the Treasurer and Show Co-Chairs to stay within budget.
  • Maintain list of helpers who assisted you (besides show volunteers), and give to the Volunteer Coordinator.
  • Prepare information for publication in Quips and/or special publications.
  • Prepare final report and update committee notebook.
